From your Adoption Coordinator...
Hello dear foster families, I am Jen Cole our Adoption Coordinator and I
will be working with you when it comes time for your foster dog to be adopted!
Please do take the time to update your foster Dog Information Forms in the link
above often, this will facilitate the adoption of your foster dog. If you ever need
to chat with me feel free to reach out! If you ever decide you may be interested
in adopting your foster dog please let me know, we NEVER consider this failing
in my book the dog is WINNING! We also offer foster payment plans for those
that choose that their foster is a furever dog! Email me for details. I have outlined the
adoption process below so that you can get a feel of how it works! Feel free to
ask questions anytime!
The Adoption Process!
Step 1. First step is an adopter fills out our application online (well
it's really not the first step, usually I have talked with them via
email or phone about some of our dogs beforehand). They fill out the
application online. After is it reviewed it goes to the next step!
Step 2. The applicant has a vet check preformed on them, just like you guys
did! If it passes it moves on to the
next step!
Step 3. The applicant has a home visit, just like you guys did and have
done! After the report has been submitted to me and Stephanie our
fabulous Home Visit Coordinator we review the information.
Step 4. References/property managers are called to verify applicants information.
Step 5. Your Adoption Coordinator reviews all of the information and decides
if the applicant will be approved or not.
Step 6. I If they are denied your Adoption Coord. lets them know.
IF they are approved the Adoption Assistant will contact YOU the foster about the dog that the
applicants are interested in.
She will send you their home visit and application to review,
and you let us know if you think it is a match for your dog or not! If it
IS a match I get you in contact with the applicant to discuss the dog
further with them and get a feel for them better.
Step 7. If you love the applicants AFTER you have talked with them and
we think it is a match - We will send them the online contract to sign and the link to pay the adoption fee.
After that we will get medical clearance from our Vet Coordinator. If your
foster has any pending treatments etc, their adoption date will be on
HOLD and you will be notified. After the Vet Coord gives us the go ahead we
will let
you know that you can set a date with the adopters to meet and or adopt your foster dog.
Let your Adoption Coordinator know when when you have set a date for adoption so that the
adoption contract can be sent out to the adoptive family.
Step 8. The Transport - in the adoption application it clearly states that the adopters understand they are
responsible for picking the dog up. If they ask you about you transporting the dog, notify me immediately
and I will take it from there, we may ask our members for help or we may just need to
remind the adopter that they have already agreed to pick the dog up via the adoption application.
Either way let me know and I will take care of it. Notify your adoption coordinator of the transport
information so BTRTOC knows where our dogs are at all times.
Step 9. Before the adoption, take time to fill out this My Foster Dog's Adoptive Information. You can
email it to your foster dogs adopters once it is completed or print it out and take it with you to the adoption.
Step 10. Adoption Day - Three very important things to remember - Contract, check and pictures! Contracts are all signed electronically, so you do not need to worry about it, it has been signed beforehand. You may need to collect the adoption fee check (some folks pay online, we will let you know ahead of time if this has been taken care of) and don't forget pictures! Send the checks to:
Jen Cole
2905 Colonel Lamb Dr
Wilmington, NC 28405
Two weeks after the adoption date the adoption is
finalized and your foster dog is on their way to furever! Please make sure to take happy tails pictures the day of the adoption.
Step 11. WHEW! It's over! We know it's hard, we have all been there! As you assimilate to life without your foster give your personal pets some extra attention, we are sure another foster will be hoping they can crash at your house soon! Make sure to get the contract and check in the mail asap, the more funds BTRTOC has the more dogs we can save!
Thank you for all you do foster families, we could never do it without you!
Sincerely, Your Adoption Coordinator, Jen Cole
